Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in OpenOffice, Microsoft Word, or RTF document file format.
  • Where available, URLs for the references have been provided.
  • The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines.
  • Ethics approval letter of the organization that is responsible for the participants in a study is mandatory.

Author Guidelines

1. Online Submission System

  • All manuscripts must be submitted electronically through the journal’s online submission system (OJS – Open Journal Systems).

  • The submission portal is available on the official website: https://archfbm.com.

  • Email submissions will not be accepted except when OJS system has some technical errors.

  • The corresponding author must register and create an account on the OJS platform to submit manuscripts.


2. Editorial Policies & Ethics

ArchFBM adheres to the highest standards of publication ethics and follows international guidelines:

  • ICMJE: We follow the “Recommendations for the Conduct, Reporting, Editing and Publication of Scholarly Work in Medical Journals” (icmje.org).

  • EQUATOR Network: Authors are encouraged to use appropriate reporting guidelines (e.g., CONSORT, STROBE, PRISMA) available at equator-network.org.

  • Declaration of Helsinki: Research involving human participants must comply with the ethical principles of the Declaration of Helsinki.

  • COPE: The journal follows the Committee on Publication Ethics (COPE) guidelines and flowcharts for handling ethical issues.


3. Mandatory Submission Documents (To be uploaded on OJS)

During online submission through OJS, the corresponding author must upload the following separate files:

  1. Cover Letter: he cover leer must contain ha he research work/the manuscript is original and not under consideration elsewhere.

  2. Title Page (Separate File): I must include:

    • Full title of the manuscript

    • A short running title (up to 40 characters)

    • Full names, academic qualifications, and affiliations of all authors

    • Name, full address, email, and phone number of the corresponding author

    • Source(s) of funding and any conflicts of interest

    • Total word count of the manuscript

  3. Main Manuscript File: Without author details (for blind review), containing Abstract, Keywords, Main Text, References, Tables, and Figures Legends.

  4. Ethical Approval Document: A scanned copy of the approval letter from the Institutional Review Board (IRB) or Ethics Committee, with reference number and date. For studies not requiring ethical approval, a statement must be provided.

  5. Figures & Tables: As separate high-resolution files (if applicable).

  6. Supplementary Files: Any additional materials (e.g., video, extended data).


4. Submission Process on OJS

  1. Visit he website https://archfbm.com

  2. Click on “Make a Submission” or “Submit Article”

  3. Register as a new author or login to your existing account

  4. Follow the 5-step submission process:

    • Step 1: Start – Select article type and accept terms

    • Step 2: Upload Submission – Upload all required files

    • Step 3: Enter Metadata – Fill in author details, title, abstract, etc.

    • Step 4: Confirmation – Review all information

    • Step 5: Submission complete, and note the manuscript ID

Important Note:

  • Submissions are only accepted through the OJS system.

  • Do not send manuscripts via email to the editorial office.

  • Email (editor@archfbm.com) is for general queries only, not for manuscript submission.

  • Technical support for OJS submission is available through the website help section.


5. Manuscript Preparation & Structure

Manuscripts must be prepared in English using the journal’s provided template. The Vancouver reference style must be followed.

5.1 Original Research Articles

  • Abstract: Structured abstract (Background, Objective, Methodology, Results, Conclusion) of up to 250 words.

  • Keywords: At least 5-7 keywords from Medical Subject Headings (MeSH).

  • Introduction: Clear rationale, context, and study objectives.

  • Methodology: Detailed description of study design, setting, duration, sample size calculation, inclusion/exclusion criteria, ethical considerations, data collection methods, and statistical analysis.

  • Results: Presented logically using text, tables, and figures. Avoid duplication.

  • Discussion: Interpret findings in context of existing literature, discuss implications, and acknowledge study limitations.

  • Conclusion: Concise summary of key findings.

  • Word Limit: Up to 3500 words (excluding abstract and references).

  • References: Up to 30 references.

  • Tables/Figures: Maximum of 6 combined.

5.2 Review Articles (Systematic, Narrative, Meta-Analysis)

  • Abstract: Non-structured abstract (up to 250 words) including a summary of search methodology.

  • Must include a ‘Methods’ section detailing the literature search strategy, databases, and selection criteria.

  • Word Limit: Up to 4500 words.

  • References: Up to 50 references.

5.3 Case Reports

  • Must report novel, educational, or rare clinical findings.

  • Abstract: Non-structured (up to 150 words).

  • Consent: Written informed patient consent for publication is mandatory and must be uploaded separately.

  • Sections: Introduction, Case Description, Discussion.

  • Word Limit: Up to 1500 words.

  • References: Up to 15 references.

  • Tables/Figures: Maximum of 4.

5.4 Short Communications

  • For preliminary findings or concise studies.

  • Abstract: Structured (up to 200 words).

  • Word Limit: Up to 2000 words.

  • References: Up to 20 references.

  • Tables/Figures: Maximum of 2.

5.5 Letters to the Editor

  • Comments on recently published articles or brief observations.

  • Word Limit: Up to 500 words.

  • References: Up to 10 references.

5.6 Editorials

  • Usually invited, but unsolicited editorials may be considered.

  • Word Limit: Up to 1000 words.

  • References: Up to 15 references.


6. References Format

  • Follow Vancouver (numerical) style.

  • List all authors if six or fewer; for seven or more, list first six followed by “et al.”

  • Include DOI where available.

  • Examples:

    • Book: Author AA. Book Title. 5th ed. Publisher; 2024.

7. Authorship & Contributions

Authorship must meet all four ICMJE criteria. A detailed Contributorship Statement is required, specifying each author’s role. Ghost, gift, or honorary authorship is prohibited.


8. Artificial Intelligence (AI) Policy

  • AI tools (e.g., ChatGPT) may be used only to improve readability and language.

  • AI must not be used for data interpretation, conclusion generation, or image creation.

  • Authors are fully responsible for the accuracy and integrity of all content.

  • AI tools cannot be listed as authors. Their use must be explicitly disclosed in the manuscript.


9. Conflict of Interest & Funding

All authors must disclose any financial (grants, fees, stock ownership) or non-financial (personal relationships, academic commitments) conflicts of interest. All funding sources must be declared. If none, state “None declared.”


10. Plagiarism Policy

All submissions are screened using plagiarism detection software.

  • The overall similarity index must be below 15% (excluding references and quotes).

  • Similarity from any single source must be below 5%.

  • Manuscripts exceeding these limits or showing evidence of text recycling will be rejected or returned for revision.


11. Ethical Approval & Consent

  • Research involving humans, animals, or vulnerable populations requires explicit ethical committee approval.

  • For case reports and identifiable images, written informed consent from the patient/guardian is mandatory.

  • Clinical trials must be registered in a public trials registry.


12. Tables & Figures

  • Should be numbered consecutively and cited in the text.

  • Include clear legends.

  • Submitted as separate high-resolution files (JPEG, TIFF, PNG) on OJS.

  • For previously published material, permission from the copyright holder must be provided.


13. Units & Terminology

  • Use SI units. Drug names should be generic.


14. Peer Review Process

  • ArchFBM employs a double-blind peer review system.

  • Initial editorial screening for scope and basic quality.

  • Each manuscript is reviewed by at least two independent experts.

  • The Editor-in-Chief makes the final decision based on reviewers’ recommendations.

  • Common decisions: Accept, Minor Revision, Major Revision, Reject.


15. Open Access & Copyright

ArchFBM is a full open-access journal. All published articles are freely available online under a Creative Commons Attribution-NonCommercial 4.0 International (CC BY-NC 4.0) license, allowing sharing and adaptation with proper credit for non-commercial purposes. Authors retain copyright.


16. Article Processing Charges (APC)

  • To support open access, the journal may apply an Article Processing Charge (APC).

  • Current APC details, waiver policies, and payment methods are available on the journal website.

  • APC is payable only after manuscript acceptance.


17. Post-Submission Procedures

  • Withdrawal: Permitted only with a valid reason before acceptance. A formal withdrawal request must be submitted through the OJS system.

  • Corrections & Retractions: Handled per COPE guidelines for significant errors or ethical violations.

  • Appeals: Authors may appeal an editorial decision by writing to the Editor-in-Chief through the OJS system with a detailed scientific justification.

The names and email addresses entered in this journal site will be used exclusively for the stated purposes of this journal and will not be made available for any other purpose or to any other party.
